Privacy policy
Last updated 28 October 2026 · Protection of Personal Information Act 4 of 2013 (POPIA)
We collect only what we need to match your child with a tutor and run their lessons. We never sell your information, and you can ask us to see, correct or delete it at any time.
Who we are
Axiom Private Tutoring CC, Suite 12, Corobay Corner, 169 Corobay Avenue, Menlyn, Pretoria 0181. We are the responsible party for the personal information described here.
Information Officer: Moseli Nkanyane. Contact: accounts@axiomtutoring.co.za · 073 688 8561 (calls and WhatsApp).
What we collect
| Information | Why we need it |
|---|---|
| Your name, phone and email | To contact you about your enquiry, arrange an optional online demo, send your proposal, and manage lessons and invoices. |
| Your child's name, grade, school curriculum and subjects | To choose a suitable tutor and plan lessons. |
| Learning needs, preferred lesson format, session type and notes you add | To understand what your child needs. |
| Your preferred demo times, or the best time to contact you | To arrange the demo or call when it suits you. |
| A promo code, if you use one | To give you the discount and to pay the affiliate who referred you. |
| Messages to our website chat advisor | To answer your questions. Please don't share sensitive details in the chat. |
| Messages to our WhatsApp booking assistant | To answer questions, take new enquiries and, for existing clients, to show, move, book or cancel lessons and send day-before lesson reminders (reply STOP REMINDERS to turn them off). We link your WhatsApp number to your account only if it matches the mobile number we hold for you. Our team can read these messages and may reply in the same chat. |
| Lesson reports, attendance and payments | Once your child becomes a client, to deliver and invoice lessons. |
Children's information
Most of our students are under 18. We only process a child's information with the consent of a parent or guardian, which you give when you tick the consent box on our enquiry form. We use it only for tutoring.
Who we share it with
Only service providers who help us run Axiom, under their own security and confidentiality obligations, and, if you used a promo code, the affiliate who referred you:
- TutorCruncher — our tutoring management system and parent portal (client records, lessons, invoices).
- Supabase — the secure database that stores website enquiries.
- Anthropic — powers the AI chat advisor on our website; it receives website chat and WhatsApp assistant messages only.
- Cloudflare — hosts our website and runs a check on the enquiry form that stops automated spam.
- Meta (WhatsApp) — delivers messages to and from our WhatsApp numbers.
- Email provider — delivers enquiry notifications to our team.
- Your tutor — including the tutor who gives a free online demo, receives what they need to teach your child.
- The affiliate whose promo code you used — only your first name and surname initial, and whether you became a client, so we can pay their commission. Never your contact details or your child's information.
Some of these providers store data outside South Africa. Where they do, we use providers bound by data protection laws or agreements that give protection comparable to POPIA, as section 72 requires.
How long we keep it
Enquiries that don't go ahead are kept for up to 24 months and then deleted. WhatsApp assistant messages are kept for up to 12 months. Client records are kept while your child has lessons with us, and afterwards only as long as tax and accounting law requires.
How we protect it
Enquiries are stored in a database that the public website can add to but cannot read. Only named Axiom staff can sign in to view them, and access is limited to what each person needs.
Your rights
You may ask us to:
- confirm what information we hold about you or your child, and give you a copy;
- correct or delete it;
- stop contacting you;
- withdraw your consent at any time.
To make a request, WhatsApp 073 688 8561 or email accounts@axiomtutoring.co.za. We'll respond within 30 days. If you're unhappy with how we handle your information, you can complain to the Information Regulator.
Changes
If we change this policy, we'll update the date at the top of this page.
